Booking Terms & Conditions
These terms apply to bookings for Proper Games mobile Mini Golf, Garden Games, Mardles Explorer Club and related event services.
1. Your booking
These Terms & Conditions form the contract between you and Mardles Life Limited trading as Proper Games. Submitting the online booking form is a request to book. For standard-area bookings, we verify your email address and ask you to authorise the required payment through our payment provider. A booking is confirmed only when Proper Games accepts it. We normally review booking requests within 48 hours. If we do not reject an authorised booking within that period, our system may accept it automatically.
If your venue is outside our standard service area, we will treat your submission as an Extended Service Request. No payment is taken and no Mini Golf capacity is reserved until we confirm any additional travel charge and convert the request into a booking.
2. Prices and discounts
Prices shown during booking are in pounds sterling and include any applicable booking discounts shown before you submit. Where a mid-week or low-season discount applies, the booking summary will show the standard price, the discount percentage and amount, and the resulting current price. Any separately agreed travel or customisation charge will be stated before it becomes payable.
3. Payment
For events more than 60 days away, 25% of the booking total is payable when the booking is accepted and the remaining balance is due 60 days before the event. For events 60 days away or less, the full booking total is payable when the booking is accepted.
Card payment is processed by our payment provider. An initial payment may first be authorised and then captured when the booking is accepted. If a booking request is rejected, the authorisation will be cancelled rather than captured.
4. Balance payments
Where a balance remains due, we will send a secure payment request when the balance becomes due. If it remains unpaid, we may send reminder emails. Failure to pay the balance after reasonable reminders may be treated as a cancellation by you, subject to the cancellation terms below.
5. Customer cancellation
If you cancel a confirmed booking, the following maximum cancellation charges apply:

These are maximum charges, not automatic penalties. We will take reasonable steps to reduce our loss, including taking account of costs we save and any replacement booking we obtain for the same date. We will not retain more than is reasonably required to reflect our actual loss arising from the cancellation.
6. Changes and postponements
We will try to accommodate reasonable requests to change a date, venue or package, but changes are subject to availability and may affect the price. A substantial change requested by you may be treated as a cancellation and new booking where it causes us material additional cost or prevents us from fulfilling the original booking.
7. Delivery, setup and access
You must provide accurate venue details and suitable access for delivery, installation and collection. You are responsible for obtaining venue permission and telling us in advance about steps, restricted access, loading restrictions, lifts, distance from unloading areas, surface limitations or other relevant constraints. Extra work or unavoidable delays caused by undisclosed access restrictions may result in a reasonable additional charge.
8. Site and operating conditions
The customer must provide a safe, reasonably level and suitable area for the equipment. We may refuse to install or operate equipment where we reasonably believe the location or conditions are unsafe, unsuitable or likely to damage the equipment or venue. Where possible we will work with you and the venue to find a practical alternative location.
9. Weather
Some Proper Games equipment can be used outdoors in suitable conditions, but safety takes priority. Strong winds, flooding, lightning, severe rain or other unsafe conditions may require equipment to be moved, temporarily closed, adapted or not installed outdoors. Wherever reasonably possible we will work with you to use an indoor or sheltered alternative. Weather alone does not automatically entitle either party to cancel without charge where the service can still reasonably be provided.
10. Supervision and use
Customers and guests must use the equipment responsibly and follow any instructions supplied by Proper Games. Children must be appropriately supervised by a responsible adult. The Mardles Explorer Club is supplied as an unstaffed activity area and requires responsible adult supervision at all times. It is not a childcare or crèche service.
11. Damage and loss
Normal wear and tear is our responsibility. You may be charged the reasonable cost of repairing or replacing equipment damaged, lost or removed because of deliberate, reckless or negligent behaviour by you or your guests. We will provide reasonable evidence of any charge.
12. Our cancellation or inability to perform
If we have to cancel because of circumstances within our reasonable control, we will refund amounts paid for services we cannot provide. If circumstances outside either party's reasonable control make performance impossible or unsafe, we will first try to agree a reasonable alternative date or arrangement. Any refund or cancellation charge will take account of services already provided, costs reasonably incurred, costs saved and any other rights that apply by law.
13. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, each party is responsible for losses that are a reasonably foreseeable consequence of its breach of contract or negligence. We are not responsible for losses caused by inaccurate information supplied by you, venue restrictions not disclosed to us, misuse of equipment, or events outside our reasonable control.
14. Photography, branding and intellectual property
Proper Games branding, designs, software and creative materials remain our intellectual property or that of our licensors. Any customer branding or artwork supplied to us must be material you are entitled to use. We will not use identifiable event photographs for marketing without appropriate permission.
15. Personal information
We use booking information to administer your enquiry, booking, payment, delivery and customer communications. Payment card details are handled by our payment provider rather than stored by Proper Games. We will only use personal information in accordance with applicable data-protection law.
16. Complaints and contact

17. Law and jurisdiction
These terms are governed by the law of England and Wales. If you are a consumer, you retain any mandatory rights to bring proceedings in another part of the United Kingdom where applicable.
